In our processing of personal data, we comply with the requirements set by privacy legislation. This means, among other things, that:

Use of Personal Data

By using our services, we obtain certain data from you. This data may include personal data. We store and use only the personal data that are provided directly by you, in the context of the service requested by you, or of which it is clear at the time of provision that they are supplied to us for processing.

We use the following data for the purposes stated in this privacy statement:

Name and contact details, such as first and last name, gender, email addresses, postal address, billing address, telephone numbers, and other similar data, so that we can contact you before, during, and after your holiday (by post, email, SMS/WhatsApp, or telephone), not only to send your booking confirmation and travel documents, but also to contact you if, for example, something is unclear, additional information is required or available, and/or to check afterwards whether everything went well.
Demographic data of you and your travel party, such as age/date of birth, gender, country, and preferred language, so that the owner and manager of the villa you have reserved are informed about the composition of your travel party and can provide appropriate services on site. If you have taken out insurance, VillaSud will also pass these details on to the relevant insurer.
Device and usage data, such as your IP address, device IDs, regional and language settings, so that we can remember your preferences and provide you with tailored information. By remembering your IP address, we ensure that no one else uses your MyVillaSud account.
Payment data, such as the details of the bank account(s) from which you have made payments to us. These are stored in our administration in order to link your payment to your booking number and to make any refunds to you. When you pay us via PayPal or Mollie, your payment is processed directly by these parties. We do not see your bank or credit card details; Mollie and/or PayPal only inform us whether your payment was successful or not.

Registration MyVillaSud

After you have submitted a reservation request via the VillaSud website, you are offered the opportunity to create a personal account via our website (MyVillaSud), through which you gain online access to the following data:

Status of your current reservation request / booking
Personal details of yourself and your travel party that you have provided to us
Payment details used for your payments and any refunds
Overview of your saved favorite villas
Your booking history with VillaSud
Subscription and unsubscription to newsletters

After registration, we store the personal data you provided using the password and email address chosen by you. We store these data so that you do not have to re-enter them each time and in the context of executing the agreement.

Via MyVillaSud, you have access to a personal management environment where you can view, set, enter, and modify information yourself, including:

Viewing the data that VillaSud has collected and used about you
Modifying your data online
Submitting a request to delete your data and personal account

We will not provide the data linked to your email address to third parties unless this is necessary in the context of executing the agreement you enter into with us or if this is legally required. In the event of suspected fraud or misuse of our webshop, we may provide personal data to the competent authorities.

Processing Bookings

When you book a holiday villa with us, we use your personal data to process the booking. If necessary for proper handling, we may also provide your personal data to third parties. More information about this can be found further on in this privacy statement.

Contact Form and Newsletter

Via our website, we offer the possibility to ask questions using a contact form, where you are asked to enter various details in order to process your question. You decide which data you provide. The data you send us will be stored for as long as necessary, given the nature of the form or the content of your email, to fully answer and handle it.

We offer a newsletter with which we aim to inform interested parties about our villas and/or services. Each newsletter contains a link that allows you to unsubscribe. If you are not a customer of VillaSud, your email address will only be added to the list of subscribers with your explicit consent.

Downloading the South of France App

The South of France app, which provides Insider Tips, is downloaded via a third-party app store. We have no influence over which personal data the provider processes or for what purposes. We recommend that you read the relevant privacy statements of the respective provider.

Location Data South of France App

To enable optimal use of the tips in our South of France app, we may collect location data (GPS) from you. Your consent is requested at the time this data is collected.

These (location) data may also be stored and processed by the provider of, for example, navigation/map software such as Google Maps, and the data may also be used by companies such as Google or Apple themselves. We have no influence over this. We recommend that you read the relevant privacy statements of the respective provider.

Publication of Reviews

After your booking, we ask our customers for feedback. Personal data may be published with your review and will be visible on our website to everyone:

Your name, city, and country

You decide whether and which information you publish. It is possible that you may be identifiable as a result. You may also choose to submit a review anonymously. Upon request, we will anonymize published information.

Our webshop does not display third-party advertisements unless they are directly related to the services we provide, such as providers of travel and cancellation insurance.

Provision to Third Parties

Owners of the villas that are rented out via our website receive personal data about you and your travel party from the moment you submit a reservation request via our website. After booking, owners may also pass on your personal data and that of your travel party to the managers of their villa, so that they are aware of your arrival and can receive and assist you on site during and after your stay. By submitting a reservation request, you agree that parties involved in the creation and execution of the booking receive personal data about you and your travel party.

Social media

Our website includes social media buttons. Through these, the administrators of these services collect your personal data. We recommend that you read the relevant privacy statements of the respective social media providers.

Cookies and Similar Techniques

The VillaSud websites use cookies and similar techniques. VillaSud uses functional cookies for the proper functioning of its websites and analytical cookies from ourselves and external partners, such as Google and Vimeo, to provide you with an optimal user experience. VillaSud does not use cookies that allow third parties to offer you services or products.

When you first visit our website, a notice is shown explaining why we use cookies. Continued use of our webshop is regarded as consent to this use of cookies.

You are free to disable cookies via your browser. Please note that our website may then no longer function optimally.

We have entered into data processing agreements with our external partners. Nevertheless, we do not have full control over what the providers of these applications do with the cookies themselves when they read them. For more information about these applications and how they handle cookies, please see the privacy statements of these parties.

Google Analytics

We use Google Analytics to track how visitors use our webshop. We have entered into a data processing agreement with Google to make arrangements about how our data is handled. Furthermore, we have not allowed Google to use the obtained Analytics information for other Google services, and we anonymize IP addresses.

Security

We take security measures to limit misuse of and unauthorized access to personal data.

Retention Periods

The personal data described above are retained for as long as necessary to process your bookings, including administrative handling, feedback, complaints, damages, insurance, etc. Thereafter, we retain data for a maximum of three years for marketing purposes. The data are then deleted, unless there is a legal obligation requiring longer retention (such as the fiscal retention obligation of seven years for payment data). Have you activated a personal account via MyVillaSud? In that case, you grant VillaSud permission to retain your personal data until further notice, so that you can continue to view data from previous bookings, easily make follow-up bookings, and be kept informed about our villa offerings and related services. Via your personal account, you can view and modify your personal data and submit a request to delete your data and personal account.

Third-Party Websites

This privacy statement does not apply to third-party websites that are connected to our webshop via links. We cannot guarantee that these third parties handle your personal data in a reliable or secure manner. We recommend that you read the privacy statements of these websites before using them.

Changes to This Privacy Statement

We reserve the right to make changes to this privacy statement. It is recommended that you consult this privacy statement regularly so that you are aware of any changes.

Accessing and Modifying Your Data

For questions about our privacy policy or questions regarding access to, modification of, or deletion of your personal data, you may contact us at any time using the contact details below.

Would you like to view, modify, or submit a request to delete your personal data? You can do so via your personal MyVillaSud account. This is to prevent misuse and to guarantee your privacy. For identification purposes, we ask you to log in to your personal account using your email address and the password you selected.
